We are looking for an experienced EA who delivers structured, accurate work at a consistent pace. This role is focused on calendar and inbox execution, clean task-system hygiene (ClickUp or similar), proactive follow-ups, and documentation that stays current. Success means fewer mistakes, stronger organisation, and less manual oversight from leadership.

POTENTIAL TASKS
- Manage scheduling, confirmations, rescheduling, and meeting logistics; resolve conflicts proactively; maintain an accurate calendar that does not require re-checking.
- Triage inbound messages, capture action items, draft/send emails as required, and ensure time-sensitive emails are sent by agreed deadlines (including the 2:00 PM UK-time email SLA where applicable).
- Maintain task hygiene (owners, due dates, priorities, statuses); set up and manage recurring tasks; keep repetitive workflows tidy and current so nothing goes stale.
- Chase responses and updates from internal/external stakeholders as needed; prevent tasks from stalling due to missing info; ensure next steps are always clear.
- Maintain structured records, templates, trackers, and organised folders so information is easy to find and consistently updated.
- Support a weekly review/sign-off cadence; implement feedback; track recurring mistakes and reduce them through better systems and habits.
- Identify where errors typically occur and implement practical fixes (checklists, templates, rules) to reduce repeat mistakes over time.
SKILLS/EXPERIENCES REQUIRED
- Proven EA experience supporting senior leaders (EA-level, not junior admin)
- Accuracy-first work habits; can apply repeatable checks to prevent calendar/inbox/task errors.
- Consistent pace and dependable execution; closes loops and meets deadlines without constant reminders.
- Confident using task tools (ClickUp preferred; Asana/Trello/Monday acceptable) and keeping systems clean and up to date.
- Strong written English and professional communication; clear action capture and escalation.
- Reliable internet and a clear backup plan for continuity.
- Experience supporting UK-based clients and/or operations-heavy environments.
- Comfortable building checklists/templates/SOPs and maintaining tidy documentation structures.
