This is a senior-level Executive Assistant role with a clear path toward Chief of Staff. You will act as operational glue across the company, protecting the CEO’s time, maintaining execution velocity, and turning messy inputs into structured outputs. This is not a reactive admin role. It requires proactive ownership, judgment, and consistency.

Work Hours:
⭐ Full-time
⭐ 6:00 AM – 2:00 PM (PH time)
 
Rate:
⭐$1,500 – $2,000 USD per month (based on experience)

POTENTIAL TASKS

Executive Support & Priority Management

  • Manage CEO calendar, meeting flow, travel coordination, and reminders
  • Triage inbound requests and protect deep work time
  • Maintain decision lists and track priority follow-ups
  • Draft and send communications via email and Slack on CEO’s behalf
  • Monitor Asana sprint cadence and ensure team alignment

Project & Workflow Management

  • Build and maintain recurring workflows in Asana
  • Document systems and SOPs inside Trainual
  • Track blockers and follow up with task owners
  • Convert meeting notes (Fireflies transcripts) into action items
  • Maintain sprint discipline and project visibility

Operations, Reporting & Data Hygiene

  • Build and maintain KPI dashboards in Google Sheets
  • Update weekly business trackers and affiliate/HCP tracking
  • Maintain content calendars and performance sheets
  • Support light bookkeeping tasks (expense categorization, simple reconciliations)
  • Prepare clean reports for bookkeeping team

Marketing Operations Support

  • Prepare decks and internal documents in Google Slides
  • Repurpose founder content into structured outputs (IG captions, clips, blog formatting)
  • Support retention and growth KPIs with reporting updates
  • Ensure marketing trackers and deliverables are updated

Research & Outreach

  • Conduct competitor and market research
  • Build and maintain outreach lists (podcasts, partners, affiliates)
  • Track follow-ups for outreach campaigns
  • Maintain clean CRM-style tracking spreadsheets

Admin & Special Projects

  • Handle ad-hoc operational tasks that remove friction
  • Perform quality checks before launches (links, formatting, compliance flags)
  • Maintain organized file systems and documentation
  • Assist CEO with rental property management tasks
  • Coordinate with house manager and handle waiver/document tracking

SKILLS/EXPERIENCES REQUIRED

  • 5+ years supporting a founder or executive
  • Exceptional written and spoken English
  • High ownership mindset and proactive follow-through
  • Calm and structured under pressure
  • Strong decision-filtering and prioritization skills
  • Excellent information organization and clarity in writing
  • Comfortable with sensitive/confidential information
  • Tech-confident and adaptable to new systems
  • Strong async communication discipline
