We’re looking for a detail-oriented and proactive Property Virtual Assistant to support the client's growing property management operations. In this role, you’ll play a key part in ensuring smooth day-to-day processes, from managing accounts and tenancy documents to coordinating maintenance and supporting tenants. This is a fantastic opportunity to build your skills in property management while working in a supportive and dynamic environment.

POTENTIAL TASKS

Maintenance Management 

  • Monitor and respond to maintenance tickets on CRM
  • Provide first-line advice on common maintenance issues (training provided)
  • Send notifications to tenants about scheduled works
  • Track property compliance (gas, electrical, EPC, HMO)
  • Monitor and update status of maintenance jobs

Property Management & General Support

  • Review and update property adverts across platforms
  • Respond to tenant inquiries via email/chat
  • Schedule viewings, inspections, and maintenance appointments
  • Follow up on leads and viewing feedback
  • Collect required documents from prospective tenants
  • File and organize tenant documents in OneDrive
  • Manage digital filing of contracts, IDs, and compliance docs
  • Update tenant/landlord details in CRM systems
  • Maintain a calendar of renewals, inspections, and key dates

SKILLS/EXPERIENCES REQUIRED

  • Strong organizational skills and attention to detail
  • Excellent written and spoken English
  • Comfortable using CRM systems and digital tools
  • Ability to manage multiple tasks and meet deadlines
  • Experience in property management or VA work (preferred but not required)
  • Proactive, reliable, and eager to learn
