We are looking for a Property Research & Systems VA to become a trusted operational support partner to the founder.
The role is primarily focused on property research, database management, written outreach support, digital infrastructure, and process improvement. The successful candidate should be comfortable receiving an outcome-level brief rather than a detailed checklist and working independently to determine the best way to complete it.
This role suits someone who naturally uses AI and digital tools to work more efficiently, researches unfamiliar tasks confidently, and takes pride in building clean, organized, repeatable systems.

Rate:
⭐5-6 GBP per hour

POTENTIAL TASKS
Property Research & Database Management
- Research property and land listings online
- Build and maintain databases of estate agents and contacts
- Accurately record opportunities and findings
- Keep Google Sheets and databases organized, updated, and user-friendly
Lead Research
- Identify potential property, land, agent, and market opportunities
- Organize research findings clearly
- Highlight key opportunities, trends, and recommendations
Written Outreach Support
- Draft and send outreach emails on behalf of the founder
- Support communication with agents, landowners, investors, and other contacts
- Track outreach activity and responses accurately
Mail Merge & Document Support
- Create personalized letters and outreach materials using mail merge
- Work from Google Sheets or Excel contact lists
- Verify names, addresses, and contact details before sending
Digital Infrastructure Support
- Manage and maintain the company website (e.g., Netlify, Cloudflare Pages)
- Ensure enquiry forms function correctly and route to the right inbox
- Support basic website, hosting, and domain administration
Email & Domain Support
- Assist with Google Workspace, domains, and email aliases
- Support email authentication setup (SPF, DKIM, DMARC)
- Research and follow technical documentation as needed
Light Social Media Support
- Set up and maintain Instagram and LinkedIn profiles
- Assist with light content posting (approximately one post per week)
- Maintain a professional and consistent online presence
AI & Automation Support
- Use AI and no-code tools to improve efficiency
- Support research, documentation, drafting, and organization
- Identify opportunities to automate repetitive tasks
Systems & Process Improvement
- Create clear, repeatable workflows from informal processes
- Develop simple SOPs where needed
- Maintain systems proactively with minimal supervision
Operational Support
- Take ownership of assigned tasks and outcomes
- Research solutions independently and provide recommendations
- Communicate progress clearly and flag issues early
- Deliver work reliably within agreed timelines
SKILLS/EXPERIENCES REQUIRED
Online Research
- Strong online research skills and the ability to find, verify, organize, and summarize information accurately.
Database Management
- Experience managing Google Sheets, Excel, contact lists, trackers, or databases. Must be meticulous with data accuracy and organization.
AI Tool Confidence
- Comfortable using AI tools such as Claude, ChatGPT, or similar platforms to work faster, research options, draft materials, organize information, and improve workflows.
Systems Thinking
- Able to identify inefficient or repetitive processes and turn them into clearer, more reliable systems.
Independent Execution
- Able to receive a goal, research the available options, and return with a recommended approach rather than waiting for detailed step-by-step instructions.
Written Communication
- Strong written English and the ability to draft clear, professional emails, letters, summaries, and updates.
Digital Confidence
- Comfortable learning website hosting, domains, business email systems, enquiry forms, and other digital tools by reviewing documentation and testing carefully.
Google Workspace / Microsoft Office
- Confident using Google Sheets, Google Docs, Gmail, Excel, Word, and related productivity tools.
Mail Merge
- Experience with mail merge is preferred, or the ability to learn and execute it accurately.
Organization
- Able to manage several small projects, research tasks, and databases without losing track of details.
Proactive Ownership
- Takes initiative, thinks ahead, asks useful questions, identifies problems, and communicates recommendations clearly.
Reliability
- Consistently shows up, meets deadlines, responds within agreed timeframes, and communicates early when there are issues or blockers.
Property Experience
- Property experience is beneficial but not required. Strong research, organization, and systems ability are more important.

- A good eye for clean and professional presentation is useful but not essential.
