We are seeking a Property Admin & Finance Support VA who can become a long-term, trusted member of a small property team.
The role blends rental portfolio admin, light finance/bookkeeping support, and property sourcing/research, alongside general VA/PA tasks. You will work closely with the client and their back-office lead in Pakistan, gradually taking on more responsibility as you learn the business.

POTENTIAL TASKS
Rental Portfolio & Compliance
- Track monthly rental payments across a 30–40 unit portfolio; maintain simple rent schedules/trackers
- Flag late/missing payments; follow up with managing/letting agents where required
- Monitor key compliance items (e.g. gas safety, EICR, EPC, other certificates) and expiry dates
- Keep basic records of tenancies, move-ins/move-outs and related documentation
Finance & Bookkeeping Support
- Bank statement analysis – reviewing bank statements and performing detailed bookkeeping reconciliations to support accurate financial reporting. Please note: main bookkeeping support can be provided by another staff member who is formally qualified; the VA’s role is to assist and support this work rather than act as the primary bookkeeper
- Categorise transactions (income, expenses, transfers, lender payments, agent fees, etc.) into agreed buckets
- Assist with preparing simple summaries for the in-house accountant (e.g. monthly overviews, reconciled spreadsheets)
- Help prepare information requested by accountants, lenders or brokers when needed
Property Sourcing & Analysis
- Search for properties on Rightmove, Zoopla and similar portals based on given criteria
- Compile shortlists and basic deal summaries (address, price, size, agent details, quick notes on potential)
- May occasionally create simple property floor plans using online tools (training and guidance provided)
- Support with submitting HMO applications and related documentation to local councils (using checklists provided)
Admin, Email & Communication
- Draft and reply to emails on client’s behalf in clear, professional English (with templates and guidance)
- Make occasional outbound UK calls to letting agents, councils or other contacts to chase information or resolve issues
- Provide support to other team members (e.g. help respond to refinance-related queries/emails for lenders or brokers using templates and existing information)
- Maintain client’s calendar for key meetings, reminders and property-related deadlines
Process, Systems & Learning
- Use Google Sheets/Drive and other shared tools to keep information tidy and up to date
- Use AI tools (e.g. ChatGPT) to help draft emails, create checklists, and learn basic UK property concepts
- Help the team improve simple processes and trackers as you become more familiar with the business
- Balance paid training time with reasonable self-learning (e.g. watching short videos, reviewing guides) to speed up your understanding of tasks
SKILLS/EXPERIENCES REQUIRED
- 2 years’ experience in an admin, finance, bookkeeping or VA role (property / real estate experience is a strong plus but not essential)
- Experience working with UK or other international clients (UK, US, AU, etc.)
- Strong English communication skills; confident and polite on phone calls with UK agents and third parties
- High level of comfort with spreadsheets (Google Sheets/Excel) and cloud tools (Google Drive, email, basic CRMs)
- Detail-oriented and comfortable with numbers and transaction categorisation
- Proactive, organised and able to manage multiple small tasks in a busy, mixed-role environment
- Comfortable using AI tools (e.g. ChatGPT) to draft content, solve problems and learn faster
- Long-term mindset: open to starting part-time and growing into a full-time, multi-year role
Nice to Have:
- Direct experience with UK property, lettings, HMOs or property management
- Familiarity with property portals (Rightmove, Zoopla, OnTheMarket etc.)
- Experience with accounting tools (Xero, QuickBooks, Sage or similar)
- Prior work preparing simple property floor plans, basic deal analysis or due diligence checklists
- Experience helping with refinance processes or communicating with lenders/brokers
- Comfortable creating simple SOPs/checklists as processes are refined
