The Operations Administrator plays a key role in supporting the company's operational delivery. The role is focused on sourcing and preparing supplier quotes, ensuring accuracy in pricing and deal structuring and supporting the smooth execution of transactions. Working closely with the Operations Director and wider team, this position helps coordinate supplier inputs, produce high-quality sales materials, and ensure that deals progress efficiently from pricing through to completion.

⭐ 4 GBP per hour

POTENTIAL TASKS

Supplier Coordination & Quoting

  • Request and manage multiple supplier quotes (typically 4–5 options per deal).
  • Collate and compare supplier pricing and commercial terms.
  • Translate supplier quotes into clear, professional client-facing presentations.
  • Ensure that all pricing, calculations, and assumptions are accurate and fully checked.
  • Apply commissions and internal pricing structures where required.
  • Maintain consistency and quality across all sales materials.

Sales Team Enablement

  • Provide the sales team with accurate, well-structured quote packs to accelerate deal progression.
  • Ensure rapid turnaround of pricing requests to support commercial responsiveness.
  • Work closely with operations and sales to align with deal requirements and timelines.

Transaction Support

  • Support the Operations Director in processing transactions from agreed deal to completion.
  • Assist with preparing and coordinating contracts.
  • Help ensure contracts are signed and properly documented.
  • Raise invoices or coordinate invoice requests internally.
  • Follow structured internal processes to ensure transactions are completed accurately.

Operations Support & Administration

  • Assist the operations team with allocation-related tasks as needed.
  • Produce basic reports and summaries where required.
  • Support ad hoc administrative tasks across the business.
  • Continuously improve internal processes, templates, and documentation.

SKILLS/EXPERIENCES REQUIRED

Essential

  • Strong administrative experience in an operations, sales support, or coordination role.
  • Excellent numerical skills and confidence working with pricing and calculations.
  • Exceptional attention to detail and accuracy.
  • Ability to organize and manage multiple tasks and deadlines.
  • Clear, professional written communication (especially email).
  • Fluent written and spoken English.
  • Comfortable working independently in a fully remote environment.
  • Strong ability to learn new systems and tools quickly.

Desirable

  • Experience using CRM systems such as Pipedrive or similar.
  • Familiarity with tools such as Google Workspace (Docs, Sheets, Slides).
  • Exposure project management tools (e.g. Asana, Trello, ClickUp).
  • Experience working in a scale-up or fast-paced commercial environment.
