We’re looking for an Executive Assistant VA who thrives on keeping things organized, running smoothly, and moving forward. In this role, you’ll be the bridge between leadership, creative, and operations, ensuring deadlines are met, priorities are clear, and communication flows seamlessly. You’ll be the right hand to leadership—helping them stay focused on what matters most—while also playing a key role in keeping our creative studio and operational projects on track.  

Work Hours:
⭐ Full-time
⭐ 8:00 AM to 5:00 PM EST / 8:00 PM to 5:00 AM Philippine Time (PHT)

Rate:
⭐$4-10 per hour depending on experience

We don’t take a cut of your pay - ever.

You receive 100% of your full advertised rate - paid directly to you by your client. We never take a cut, percentage, or reduce your earnings in any way.

POTENTIAL TASKS

  • Manage leadership calendars, schedule meetings, and coordinate logistics for key events.
  • Prepare and share meeting agendas, notes, and action items and ensuring follow-through.
  • Act as a communication hub, flagging urgent priorities and routing requests appropriately.
  • Support planning and execution of internal projects and process improvements.
  • Follow up with team members and stakeholders to keep commitments on track.
  • Draft or polish communications, presentations, and updates for internal and external use.
  • Anticipate leadership needs and proactively clear roadblocks.
  • Maintain a high level of confidentiality and discretion when handling sensitive information.
  • Own project timelines, deliverables, and approvals across creative initiatives.
  • Keep the creative studio on track: coordinating designers, and other contributors.
  • Provide regular status updates and ensure alignment across all stakeholders.
  • Manage briefs, assets, and project documentation so everything is organized and easy to find.
  • Help with scheduling and resource planning to optimize team bandwidth.

SKILLS/EXPERIENCES REQUIRED

  • Experience managing projects or operations (agency or creative environment is a plus). 
  • Skilled at juggling multiple deadlines and keeping teams aligned. 
  • Speaking French is a plus 
  • Having some experience in the creative industry is a plus 
  • Excellent communicator with strong follow-through and attention to detail. 
  • Organized, proactive, and comfortable taking ownership of outcomes. 
  • Familiarity with project management tools (e.g., ClickUp, Notion, or similar) and scheduling systems (Google Workspace, Calendly). 
  • Able to thrive in a fast-paced, collaborative environment and maintain professionalism under pressure. 
  • 5 years of remote work experience 
  • 5 years supporting director-level (or higher) leadership
