The Sales Administrator plays a central role in supporting the commercial function of the business. Acting as the first point of contact for all incoming inquiries, the role ensures that leads are responded to promptly, accurately qualified and progressed efficiently through the sales process.

This position underpins the effectiveness of the wider sales team by maintaining high-quality CRM data, preparing accurate quotes and professional sales materials and producing timely reporting. The Sales Administrator is critical to ensuring that the commercial team can focus on closing deals with confidence and efficiency

POTENTIAL TASKS

Inquiry Handling & Lead Management

  • Act as the first responder to all incoming inquiries from all channels, including website forms, emails, LinkedIn messages, phone calls, newsletters, and marketing campaigns
  • Respond promptly and professionally, primarily via email, while qualifying leads and gathering customer requirements
  • Generate accurate quotes for BNG units and prepare polished presentations or sales decks for use by the Account Management team

CRM Ownership & Data Quality (Pipedrive)

  • Maintain clean, consistent, and fully up-to-date records within Pipedrive CRM
  • Enforce data standards across leads, deals, contacts, organizations, and activities
  • Identify and resolve duplicate records, archive or remove legacy or redundant data, and ensure pipeline integrity

Data Ingestion & Integration

  • Capture, tag, and categories all new leads from every source within Pipedrive
  • Synchronize and maintain Mailchimp contacts within Pipedrive
  • Upload, summaries, and log call notes and email interactions
  • Tag LinkedIn newsletter subscribers and manage their integration into CRM workflows
  • Support medium-term projects to import and organize historical emails from employee mailboxes into Pipedrive

Sales Team Enablement & Reporting

  • Produce sales reports, dashboards, and data extracts on request
  • Support activity scheduling and monitoring overdue tasks and follow-ups
  • Proactively identify under-utilized Pipedrive features, automations, or process improvements that could improve sales efficiency and conversion rates.

Compliance & Documentation

  • Ensure all customer, commercial, and BNG-related data is stored and processed in full compliance with UK GDPR and internal policies.
  • Maintain clear, documented sales and CRM processes to support consistency across the team

SKILLS/EXPERIENCES REQUIRED

  • Proven experience in sales administration, sales operations, or inside-sales support roles.

  • Strong experience administering Pipedrive CRM or a comparable CRM platform.

  • Exceptional attention to detail and a strong commitment to data accuracy.

  • Ability to write clear, professional emails and produce quotes and presentations efficiently.

  • Fluent written and spoken English.

  • Comfortable working independently in a fully remote environment.

Nice to have

  • Experience working in a scale-up or sales-led organization.

  • Experience working with CRM integrations (e.g. Mailchimp–Pipedrive or similar).

  • Familiarity with Biodiversity Net Gain (BNG) or the UK environmental sector.
