We are seeking a highly organized and proactive Operations & Executive Support VA to work closely with the franchise owner, crew, and other virtual team members. You’ll serve as the operational backbone of the business, responsible for streamlining workflows, maintaining real-time reporting, supporting inbound inquiries, and assisting with environmental and administrative tasks.

This role is ideal for someone who loves variety, takes initiative, and thrives in a fast-paced, service-driven environment.

Work Hours:

⭐ 7:00 AM – 3:00 PM PDT

Rate:

⭐6 USD per hour

POTENTIAL TASKS

Daily Operations & Reporting

  • Enter and report daily payroll numbers
  • Track and summarize daily revenue and expenses
  • Ensure crew compliance with credit card usage policies
  • Assist with environmental impact and recycling reports
  • Support monthly reconciliations with finance and reporting

Admin & Communication Support

  • Answer and manage real-time service inquiries
  • Handle inbound phone calls and emails with professionalism
  • Monitor and respond to online customer reviews
  • Help manage the owner’s email inbox and task list
  • Register and maintain company accounts on external business portals

Team & Project Coordination

  • Support in hiring and onboarding new team members
  • Help organize owner networking meetings and follow-ups
  • Assist with presentations and proposal creation for commercial clients
  • Collaborate with another VA to manage administrative workflows using Motion software
  • Take part in new project development and cross-departmental initiatives

Client, Inventory & Contract Oversight

  • Assist in managing daily online auctions and weekly listings
  • Help track and organize retail inventory
  • Provide oversight for commercial contracts, ensuring personalized support and proactive issue resolution
  • Coordinate task lists and deadlines tied to client engagements

SKILLS/EXPERIENCES REQUIRED

  • Excellent English communication skills (spoken and written)
  • Highly organized, proactive, and able to manage multiple priorities
  • Strong attention to detail and accuracy in reporting
  • Tech-savvy and able to learn new platforms quickly
  • Comfortable using spreadsheets and online tools for reporting and documentation
  • Professional demeanor for handling calls, emails, and customer interactions
  • Self-motivated, trustworthy, and dependable

Nice to Have

  • Experience with Motion, QuickBooks, or project management tools
  • Background in operations, executive support, or service-based businesses
  • Exposure to inventory tracking, franchise systems, or environmental reporting
  • Familiarity with U.S.-based customer service or administrative systems
