We’re looking for a highly organized, detail-oriented, and reliable professional to manage the operational side of Substack newsletters for a growing agency. You’ll work directly with the founder to execute a weekly publishing schedule, format posts, manage editorial systems, and ensure everything runs smoothly behind the scenes.
This is an execution-focused role. The strategy and approved copy will be provided. You’ll maintain a clean, consistent publishing process across Substack, Notion, and Google Workspace—with the opportunity to take on more responsibility as the company grows.

POTENTIAL TASKS
- Format and schedule posts in Substack (headlines, images, links, SEO/social previews)
- Ensure consistent layout, styling, and visual formatting
- Upload and embed images, graphics, or multimedia as needed
- Proofread for typos, grammar, and formatting errors
- Maintain and update the content calendar in Notion
- Track the status of all content (idea, draft, review, scheduled, published)
- Organize Google Docs for easy access and collaboration
- Send reminders and keep tasks moving on schedule
- Track open rates, click-through rates, and subscriber growth
- Maintain a simple analytics tracker and surface key insights
- Ensure all platform settings (bios, banners, links) are up to date and on-brand
- Monitor Substack comments and flag notable feedback
- Help manage cross-promotions or referral links as needed
SKILLS/EXPERIENCES REQUIRED
- Have excellent written English and strong formatting/proofreading skills
- Are confident navigating Substack, Google Docs, and Notion
- Are interested in newsletters and are an avid subscriber and reader
- Have 1–2+ years of experience supporting a content or editorial team
- Are self-directed, highly organized, and dependable
- Communicate clearly and follow through on deadlines without micromanagement
- Experience with Canva for light design/formatting tasks
- Familiarity with Substack newsletters and enjoy subscribing to newsletters and exploring the platform
- Previous newsletter, content ops, or email marketing experience
